WHAT DATA MIGHT WE COLLECT & HOW WILL WE USE IT?

We may hold and process details about you, such as your name, job title, contact details (email address & telephone number) as well as records of our business interactions and your order history. We do this to provide you with excellent service, quality products, and contact your business when we think we have something new and exciting to show you!

Transactions for things our customers buy through our website portal and data about how we fulfil your orders from us are all processed and stored so that we can keep track of your account history. This record helps us improve our systems and processes in the future, as well as forming part of our sales operations and procedures.

We collect information and data about your visits to our website(s); including but not limited to traffic data, location data, weblogs and other communication data, and which resources you access (more about this below in our “Cookies” section). We do not collect personally identifiable information as part of this process, and the data we do collect is only used to improve our products, services and website user experience.

Calls to and from our landline telephone numbers, including the main central office numbers, and individual direct dial numbers, are recorded for training and quality purposes. We may also refer to call recordings if revisiting a telephone discussion is beneficial for all parties.

At our operating and customer sites, where CCTV is in operation you may be captured on CCTV and your image stored. We capture CCTV footage for security purposes and the prevention and detection of crime. If you would like to know more about this, please contact us using the details provided below.

WILL WE USE YOUR DETAILS FOR MARKETING PURPOSES?

We may from time to time send our customers offers, promotions or information about our products and services which we think your company may find interesting or relevant and compliment your business needs.

We also hold marketing, business and product development or networking events and training activities from time to time, and may invite you to participate in or attend, where we think it’s relevant to your company’s interests.

We may also contact you to obtain market research information about your company, to inform our product development processes.

You can ask us to stop any direct marketing by emailing preferences@paper-graphics.com with the subject ‘Please stop sending me PG marketing material’.

WILL WE DISCLOSE YOUR INFORMATION TO OTHER PARTIES?

We’ll only transfer your information to third parties as per our general Terms and Conditions and as indicated under this privacy policy.

We may disclose your personal information to third parties who are one of our business carefully chosen partners, suppliers and subcontractors and it is for the fulfilment of any contract we enter into with you, i.e. courier companies.

We may need to disclose or share your data under one of the following specific circumstances. (1) If we are under a legal duty or obligation to do so; to enforce or apply our general Terms & Conditions of sale or any other agreements entered into with you. (2) We need to protect our rights, property, or the safety of our employees, our customers, or others. (This includes exchanging information with other companies and organisations for fraud protection and credit risk reduction).

Rest assured, we will never rent or sell your data to third parties.

HOW LONG WILL WE KEEP YOUR DATA?

We will keep your data as long as you are an active customer and a registered user of our secure customer log-in area on the website portal, so we can continue to provide you with our products and services. We may also keep hold of some of your details and account history if the time comes that you decide you don’t want to be one of our customers any more, but will continue to review this on a regular basis and ensure that it’s still relevant for the purpose. If it becomes no longer relevant, we will delete it securely to ensure that we meet our legal obligations in respect of how long we keep personal data.

WHAT SECURITY MEASURES DO WE TAKE WITH REGARDS TO YOUR DATA?

We store all the personal information we hold on our secure systems. The security of the data we hold is something we take very seriously, but as no system is 100% safe, we can't completely guarantee the protection of your personal information, any more than any other organisation can.

All of our staff are given training and are committed to the internal policies and practices we have put in place to ensure the safe, secure and appropriate processing of any personal data.

HOW CAN YOU CONTROL THE PERSONAL INFORMATION WE HOLD ABOUT YOU?

While we only contact our customers about products and services we believe to be of genuine, legitimate interest, it’s OK if you decided at any time that you no longer want to receive such contact. You can tell us this by writing to our address below, or emailing us at preferences@paper-graphics.com, with the subject ‘Opt out of marketing’.

You can also request details of the personal data we hold about you under the Regulations (2016). If you would like a copy of this information, please send your written request to:
